This privacy policy sets out how we use and protect any information that you give us when you use this website. We are committed to ensuring that your privacy is protected.

Privacy policy and management of personal data

Our terms for the use and storage of personal data were updated in March 2018 to reflect the new legal obligations of the GDPR, the data protection regulation in force from 25 May 2018. The GDPR applies to European and non European companies using online measurement and advertising solutions when people access their sites and applications within the European Economic Area.

We do not store payment methods through the site.

Where and how is your personal data stored?

The Freepackers domain, the CMS and all customer data are hosted in Ireland. Only 4 Freepackers staff have access to customer data coming from the site.

Once forms are submitted, all the data entered is automatically stored in the Freepackers CMS, the site's back end. All data is encrypted to give customer data the highest level of protection.

Other platforms on which customer data is stored by Freepackers:

Zoho (CRM) and the Freepackers Gmail account
The Freepackers Mailchimp account
Google Drive (in PDF and Excel format)

All of these are protected by an authorised access system and reserved exclusively for Freepackers staff.

Use of your personal data

By using our services and contacting us through the Freepackers site, you consent to your information being stored in our databases. When you get in touch with the Freepackers team, you will provide personal information. That information is kept securely and used solely to send you the following:

confirmation of your bookings
answers to your questions
newsletters and updates on what is new (products and services)

We will contact you by email or by phone if a number has been given.

Under no circumstances will our customers' personal data be passed to a third party on our own initiative and without their consent.

We do not sell our databases.

Handling your file

Before departure: correspondence by email from Freepackers and the local organisations to prepare your project and make registering for the programme easier.

During the stay: follow-up, assistance and answers to questions by email.

Newsletters

On your return: a request for feedback, newsletters from the projects and the local organisation, and the Freepackers newsletter about new opportunities. Participants can unsubscribe from the newsletters at any time if they no longer wish to hear from Freepackers or from their host organisation.

Statistics

We use tracking and authentication systems to produce usage statistics (Analytics). That data contains no personally identifiable information. Freepackers reserves the right to entrust its tracking systems and its databases to outside companies for statistical analysis, in which case the highest level of security and integrity will be applied to keep the data confidential.

Cookies and trackers

The website does not store anything in your browser for audience measurement or advertising without your consent. On your first visit, a banner lets you choose: accept, continue without accepting, or customise.

What is stored without your consent, because the website needs it

Your cookie choice (fp_consentement): kept for 6 months, so that we do not ask again on every page. After that, the banner comes back.
Your favourite programmes (fp_favoris) and the draft of a request in progress (fp_demande_brouillon): kept in your browser only. Nothing reaches us until you send the form.
Where your visit came from (fp_provenance: the campaign or website that brought you to us): kept for the visit, and attached to your request if you send one. If you accept advertising, it is kept for 90 days.

Audience measurement, with your consent

Google Analytics (Google Ireland Ltd), loaded by Google Tag Manager, counts page views and the steps of a request, so that we know which programmes interest you and can improve the website. Cookies _ga (and its site-specific variant), kept for 13 months at most.

Advertising, with your consent

Google Ads and Meta (Facebook, Instagram) measure how well our ads work, and may show you our programmes on other websites. Cookies _gcl_au (Google Ads) and _fbp (Meta), kept for 90 days. These companies may process data outside the European Union, under the EU-US Data Privacy Framework.

Videos

YouTube videos play in privacy-enhanced mode (youtube-nocookie.com): nothing is stored until you start the video.

Changing your mind

The “Manage cookies” link, at the bottom of every page, reopens your settings at any time. You can also delete cookies from your browser settings.

Security and control of your personal data

We undertake to maintain the highest level of security and integrity in order to keep your personal data confidential. Any unauthorised access to our databases liable to cause harm will be notified to the individuals concerned and reported to the competent data protection authority within 72 hours (in our case the ICO, the British equivalent of the French CNIL).

Among the new rights companies must respect is the right of any citizen who asks for it to access the information concerning them, to have it corrected and to have it erased. Partner sites

We make sure every partner site is secure and certified; however, we cannot be held responsible for any information or personal data provided on partner sites when booking online. We invite participants to read and accept the privacy policy of each partner site before making any online booking.

We cannot be held responsible for any personal data provided on public forums or on blogs.
